Operations Manager

This is an excellent opportunity for a driven and talented individual to make a real difference as part of a dynamic and professional team. The Operations Manager will assist the Head of Operations focusing on the optimisation of the day to day operations of the business.
 
There will be a number of interesting and varied ad-hoc projects and the Operations Manager will have responsibility for the Operations Team.
 
This is a position best suited to a commercially yet technically minded person who enjoys leading a team of professionals and is motivated by the challenge of providing technical and operational solutions.

Key Responsibilities

Team Management

o    To manage performance of the team, providing support and guidance to team members
o    To participate in management team meetings
o    Oversight and maintenance of the team action tracker
o    Actively participate in Team Meetings, leading on certain key Operations areas
o    Hold monthly one-to-one meetings with each team member as part of the performance management process
o    Hold regular objectives/PMR progress meetings with each team member, as required by PMR guidelines.



 Systems and IT

o    Troubleshoot operational problems that may become systematic issues for delivery
o    Supervision of the Secure Virtual outsourced IT provider
o    Development of systems supporting infrastructure for client delivery 
o    Work with Head of Operations and jurisdictional colleagues to devise optimal IT solutions
o    Oversee the day-to-day management and resolution of IT issues arising internally
o    Support Operations Administrator(s) with IT/Systems query resolution and deal with escalated issues



Operations

o    Support or lead specific internal projects
o    Support in streamlining operational processes
o    Undertake required Business Analyses as and when required
o    Build and deliver MI reporting as required
o    Support in the delivery of internal training
o    Review of certain internal budgets to include assisting with periodic profitability analysis and staff benefit budgeting
o    Assist Head of Operations with relationships with our primary bankers


 
Accounts Administration

o    Management and reconciliation of the disbursements to clients including regular review to maintain accuracy
o    Oversight of the monthly payments preparation to suppliers and monthly staff expenses payments
o    Oversight of monthly bank account activities including liaison with Head of Finance
o    Checking of monthly supplier invoices, ensuring the payments are in line with budget and business requirements
o    Liaison with suppliers to resolve any invoicing queries



Office & Facilities Management

o    Co-ordinate all premises or facilities related projects within agreed timelines
o    Contract and supplier management, acting as main point of contact for all relationships
o    Act as point of contact for all office facilities related matters, including any matters relating to the lease of the office premises
o    Maintain accurate register of building access cards
o    Support and mentor junior staff with all facilities queries, including provision of furniture, equipment and supplies for use in the office



Management/Supervisory Responsibilities

o    Act as a role model and provide support and guidance to staff
o    Supervision, coaching and mentoring of staff members
o    Managing team workloads and ensuring that objectives are met



Skills, Knowledge & Expertise

Technical Knowledge / Skills Required
  • Ability to write business correspondence, procedures and performance measurement reports. 
  • Ability to lead, mentor, coach and carry out on-the-job training with staff members.
  • Internal systems, controls and procedures – training will be given on the internal applications used and the candidate will become familiar with the controls and procedures in place.  
  • Proficiency in MS Applications including Word, Excel and PowerPoint
  • Excellent communication skills are essential
  • Project Management Experience
  • VBA Coding or similar experience

Minimum  Education / Qualifications
  • Ideally 3 or more years of demonstrable management experience within financial services, with an excellent understanding of the operational function, projects and systems. A heavy emphasis on delivery to clients is required in order to identify and plug any gaps in the operating platform.
  • Graduate with a proven academic record
